Winery software compared

Winery software in South Africa compared: WineMS, vintrace, Farmable and GrapeFlow

WineMS is South African winery and farm cloud software, used by estates and co-operative cellars; vintrace is an international winery system from Encompass Technologies; Farmable is a farm app for spray records and field tasks; GrapeFlow is a newer, smaller web app for wine farms that grow their own grapes, with the vineyard, the spray records and the cellar in one plan at 99 USD/month. Every statement about the others comes from their own websites or App Store listing, as of 31 October 2026. If you run a co-operative or a large cellar that pays growers, need an accounting integration or sell from the same system, WineMS or vintrace will suit you better — this page says where.

Where WineMS, vintrace and Farmable are stronger

  • WineMS

Built in South Africa, with a Vinpro member rate and co-operative cellars among its clients. It runs grape receipt through to grower payment, links to Xero and Sage, and sells bottled wine with a point of sale and a client portal. GrapeFlow pays no growers, keeps no accounts and sells nothing.

  • vintrace

An established system used by thousands of wineries, with accounting (QuickBooks, Xero), lab, tank-control and eCommerce partners, contract-winemaking clients and a native mobile app. GrapeFlow has none of those integrations and runs in the browser.

  • Farmable

A native app for iPhone, iPad and Mac in 14 languages, with farm task planning, timesheet and sales modules as add-ons, and a free tier to start with. GrapeFlow has no native app and no timesheets.

Where GrapeFlow fits

  • One price per winery

99 USD/month or 990 USD/year with every module, no per-user fees, and a 90-day free trial without a credit card.

  • Spray records joined to the cellar

The block you sprayed is the block on the weighbridge ticket: if the withholding period hasn’t been respected, GrapeFlow flags it at harvest intake.

  • Block to bottle, and back

A PDF recall report lists every bottling run and SKU made from a lot, and each bottled lot can carry a public QR page.

  • Made for South African wine farms

Hectares, tonnes and litres, mildew risk per block from modelled weather, and records your IPW evaluation can draw on.

Frequently asked questions

Is GrapeFlow cheaper than WineMS or vintrace?

It depends on your team. WineMS publishes its prices on its site, per user and per module, so you can work out your own figure; vintrace does not publish a price. GrapeFlow is 99 USD/month or 990 USD/year for the whole winery, however many people use it.

Does GrapeFlow submit returns to SAWIS or integrate with IPW?

No. GrapeFlow keeps the spray, harvest and cellar records your IPW evaluation and SAWIS returns are drawn from, but it submits nothing, certifies no Wine of Origin claim and issues no export certificate or transport document.

Can GrapeFlow handle grower payments or a co-operative cellar?

No. GrapeFlow records weighbridge tickets per block but pays no growers and does no cost accounting. WineMS describes grape receipt through to payment and a Grape Payments add-on.

Can I move from WineMS, vintrace or a spreadsheet to GrapeFlow?

Blocks, tanks, harvest receptions and finished products can be imported from CSV. Lot histories are not imported: you start GrapeFlow with the wine already in your cellar as opening balances.

I already keep spray records in an app. Do I need GrapeFlow?

Only if you want them joined to the cellar. In GrapeFlow the spray record sits on the same block as the harvest intake and the wine lot, so a withholding period is checked when the grapes arrive and a bottle can be traced back to the block.

Do I have to book a demo to try GrapeFlow?

No. You sign up, get a 90-day free trial without a credit card, and use the whole app with your own data. There is also a live demo with a fictional winery.

How much does GrapeFlow cost?

99 USD/month, or 990 USD/year (two months free), excluding taxes. One price with every module and no per-user fees; the trial lasts 90 days and doesn’t need a credit card.
