Small winery software

Winery management software built for small wineries

In a small winery, one or two people run the vineyard, the cellar and the paperwork, often from a notebook and a few spreadsheets. GrapeFlow puts it in one app, sized for wineries up to about 20,000 cases: blocks and sprays, harvest by block, every tank and barrel, additions with the maths done, lab results on the lot, bottling with a QR per bottle, and the TTB 5120.17 built from the same records. One price, $99/month, for the whole crew.

One app instead of the notebook and the spreadsheets

  • Every vessel on one screen

Each tank and barrel with its lot, variety, volume and fill, and what needs topping, a lab analysis or a look at the fermentation.

  • Harvest by block

Tons and °Brix at the scale, each pick tied to its block, the fruit sent to tanks or the press.

  • Cellar work on the lot

Rackings, additions, toppings and blends recorded against the lot in gallons, with the blend composition kept by block and variety.

  • Lab and fermentations

Alcohol, TA, pH, VA and SO₂ on the lot, and twice-daily fermentation readings.

  • Bottling and the bottle story

A bottling run closes the lot and links it to its bottles; each bottle can carry a QR that opens its story.

  • The TTB 5120.17

Built from your lots, blends and bottlings, with what does not reconcile flagged and a PDF to file.

Getting started without a migration project

  1. Sign up. Winery name, email and password. No card, no demo call.

  2. Add blocks and tanks. By hand or from CSV.

  3. Enter opening balances. The bulk and bottled wine you already have, so you start from today, not from next vintage.

  4. Record the next thing that happens. A reception, a racking, a lab result. The history builds itself from there.

When GrapeFlow is not the right fit

GrapeFlow does not handle alternating proprietorships or contract-winemaking clients.

  • Cost of goods

There is no lot-based COGS or cost accounting.

  • Integrations

No ready-made Commerce7, QuickBooks or Xero connection; there is a read-only REST API.

  • Large, multi-site wineries

GrapeFlow is built for wineries up to about 20,000 cases.

Frequently asked questions

How small is “small”?

GrapeFlow is built for wineries up to about 20,000 cases a year, especially those that grow some or all of their own grapes.

Does it work in gallons and °Brix?

Yes. A US account uses US tons, gallons, °Brix and °F throughout.

Can my cellar crew use it?

Yes. The price is per winery, not per seat, so the crew can log their own work in the phone’s browser.

Do I need to install anything?

No. GrapeFlow runs in the browser on a computer, tablet or phone. There is no native app.

How much does GrapeFlow cost?

$99/month or $990/year, with every module included and no per-seat pricing. There is a 90-day free trial and no credit card is required.
